Purpose #
To support transaction tracking, compliance review, commission processing, and brokerage operations, Easy Realty requires agents to report listings, accepted contracts, changes to scheduled closing dates, cancellations, and requests for a Commission Disbursement Authorization.
This policy establishes when documents must be submitted during a transaction and when the complete transaction file must be uploaded through the Get Paid process.
Documents and transaction updates required before closing must be emailed to hi@easy.realty.
Policy Overview #
Agents are required to notify the brokerage at the following key points:
- When a listing is taken.
- When a buyer’s offer is accepted or a listed property goes under contract.
- When the scheduled closing date changes.
- When a pending transaction is canceled, terminated, released, or otherwise falls out of contract.
- When requesting a Commission Disbursement Authorization through the Get Paid process.
This process allows the brokerage to maintain accurate listing and transaction records, monitor pending closings, process Commission Disbursement Authorizations, and review complete transaction files.
Listing Transactions #
When an agent secures a listing, the agent must email a copy of the fully executed Listing Agreement to hi@easy.realty. The Listing Agreement should be submitted when the listing is taken and should not be held until the property goes under contract.
When the seller accepts an offer and the property goes under contract, the listing agent must email the fully executed Purchase and Sale Contract to hi@easy.realty.
The agent does not need to submit additional transaction documents or addenda as they are created during the transaction unless a change affects the scheduled closing date. If the closing date changes, the agent must notify hi@easy.realty and attach the fully executed addendum or amendment documenting the new closing date.
Buyer Transactions #
When an agent represents a buyer and the buyer’s offer is accepted, the agent must email the fully executed Purchase and Sale Contractto hi@easy.realty.
The agent does not need to submit additional transaction documents or addenda as they are created during the transaction unless a change affects the scheduled closing date. If the closing date changes, the agent must notify hi@easy.realty and attach the fully executed addendum or amendment documenting the new closing date.
Transaction Updates #
Agents do not need to submit every amendment, addendum, disclosure, or other transaction document as it is created.
If the scheduled closing date changes, the agent must notify hi@easy.realty as soon as reasonably possible and attach the fully executed addendum or amendment documenting the new closing date.
Other transaction documents must be retained by the agent and included in the complete transaction file submitted through the Get Paid process when requesting a Commission Disbursement Authorization.
Cancellations and Terminations #
If a pending transaction is canceled, terminated, released, or otherwise falls out of contract, the agent must promptly notify hi@easy.realty and attach the applicable fully executed cancellation, release, termination notice, or other document ending the transaction.
Prompt reporting allows Easy Realty to update its pending-transaction records and transaction forecasts.
Commission Disbursement Authorization (CDA) Requests #
When requesting a Commission Disbursement Authorization, the agent must upload the complete transaction file through the Get Paid Commission Disbursement Authorization form in the Agent Hub.
The complete transaction file must be submitted again as one complete package, including documents previously emailed to hi@easy.realty. Agents should not assume that Easy Realty will compile previously submitted documents on their behalf.
The complete file must include all applicable brokerage agreements, contracts, addenda, amendments, disclosures, commission documents, closing documents, and any other documents required by Easy Realty or applicable law.
Brokerage Review #
The brokerage will review submitted transaction files for completeness and compliance.
Transactions with missing documents, missing required documents or transaction reports, or incomplete files may experience delays in processing and CDA issuance until the required information has been received.
Agent Responsibilities #
Each Easy Realty agent is responsible for:
- Submitting the fully executed Listing Agreement when a listing is taken.
- Reporting accepted contracts when a transaction goes under contract.
- Reporting changes to the scheduled closing date.
- Reporting cancellations and terminations.
- Maintaining a complete and accurate transaction file.
- Uploading the complete transaction file through the Get Paid process when requesting a Commission Disbursement Authorization.
